Website Design & Hosting Agreement

Monthly rolling service, plain and simple

1. Who this is between

This agreement is between:

  • Us: Vector Web Design Ltd, Company No. 12939192
  • You: The client signing below

By going ahead with the service, you're confirming you've read this agreement and are happy with the terms.

2. What's included

For your monthly fee, here's what we do:

  • We design and build your website from scratch, at no upfront cost to you.
  • We host your finished website on our servers.
  • We'll make up to one hour of updates each month, whenever you need them.

Your monthly hour of updates covers things like text changes, swapping images, and small tweaks. We'll use our judgement on what fits within that, and we'll always be upfront with you if something falls outside it.

3. What it costs

Monthly fee: £57.00 per month.

Upfront cost: Nothing. No setup fee, no design charge.

Payment is taken monthly by card via Stripe, our secure online payment provider. Your subscription starts when your site goes live (or on a date we both agree), and payments are collected automatically on the same date each month. If a payment fails, we'll let you know and give you a chance to sort it. If it remains unpaid, we may need to take the site offline until it's resolved.

We may increase the monthly fee from time to time, but we'll always give you at least 30 days' notice before any change takes effect.

4. Bigger jobs

The monthly hour covers routine updates and it's not intended for large projects. If you ask us to do something more significant, like building new pages, adding a shop, a full redesign, or a large batch of changes, we may need to charge extra for that work.

We'll always tell you in advance if something is likely to cost more, and we won't go ahead without your agreement. We'll agree a price with you first.

5. Who owns the website

The website, including all the code, design, graphics, and everything we build, belongs to us. It always will.

While you're a paying customer and your account is up to date, you have our permission to use the website. That's what your monthly fee covers.

If the agreement ends for any reason:

  • Your permission to use the site ends straight away.
  • The website will be taken down and the files won't be handed over.
  • You won't be able to take the code or design files with you.

6. Your domain and email

Your domain name (e.g. yourwebsite.co.uk) and any email accounts are your responsibility to keep paid and renewed. We don't cover those costs as part of the monthly fee.

If your domain lapses or your email stops working because a renewal was missed, that's not something we can be held responsible for. Please make sure you keep on top of those renewals.

If you ever need help setting up domain records or email, just ask. We're happy to help, though it may count as additional work under Section 4.

7. Cancelling

Either of us can end this agreement at any time by giving at least 30 days' written notice. An email is fine.

When you cancel:

  • You'll owe any fees up to the end of the notice period.
  • The website will be taken offline once the notice period is up.
  • We can't refund any unused days in a monthly billing period.

We reserve the right to end things immediately, without notice, if payments consistently fail and aren't resolved, if the service is being misused, or if there's any conduct that we reasonably consider unacceptable.

8. Our liability

We'll do our best to keep your site up and running at all times. That said, we can't promise 100% uptime. Occasionally things like server maintenance or issues with third-party providers can cause brief interruptions, and that's outside our control.

If something does go wrong and you feel we're responsible, our liability is capped at the total fees you've paid us in the three months before the issue arose.

We're not liable for any knock-on losses — things like lost revenue, lost business, lost data, or damage to your reputation.

9. What we ask of you

To help things run smoothly, we ask that you:

  • Send us any content, images, or text we need in good time. We can't be held up waiting for materials.
  • Make sure anything you send us is yours to use and doesn't belong to someone else.
  • Keep any login details we give you safe and confidential.
  • Let us know as soon as you spot any problems with the site.
  • Keep your domain and email renewals up to date (see Section 6).

10. A few things worth knowing

We'll build you a great website, but we can't make any promises about search engine rankings, how much traffic you'll get, or what business results it will bring. There are a lot of factors involved that are outside our control.

We'll always aim to build something we're proud of, but the only promises we make are the ones in this agreement.

Unless we've separately agreed otherwise in writing, this agreement doesn't include SEO, paid advertising, social media, or any other marketing services.

11. Governing law

This agreement is governed by the laws of England and Wales. If there's ever a dispute we can't resolve between ourselves, it would be dealt with by the courts of England and Wales.

12. The whole agreement

This document sets out everything we've agreed. It replaces any earlier conversations or informal arrangements. If we ever need to change anything, we'll both need to agree to it in writing.
